Why do we require “Your IP address, hardware identifiers, and cookies”?
We collect behavior information while on our website. It is used for metrics and analytics to provide a better future experience for our customers.
We may send account owners marketing and product updates to their email. If you wish to opt out of this feature please reach out to support@corecruit.com.
We provide options for customers with varying levels of privacy concerns. We may work with trusted third parties to support features such as AI note taking. In the case of third party sub processors we will require opt-out consent to disable certain features. Features leveraging sub processors will be disclosed and enabled by default. Changes to sub-processor policy may not be reflected in our privacy policy unless explicitly opted out with a third party consent. We may leverage trusted third party sub processors or specific features. We may require sending feature specific information to the third party. It is the responsibility of the user to read and consent to the third party’s privacy policy. We, on best effort, will keep third party policy links up to date, but ultimately it is the responsibility of the user to read up on policy changes.
If a third party sub-processor discloses a security issue or data breach, We, on best efforts will notify potentially affected parties. Non core features that leverage sub processors may have the ability to opt-out. We rigorously vet each sub processor for privacy and security.
Announcekit Privacy Policy: AnnounceKit is used to display in-app announcements and updates to our users. It helps us communicate new features, changes, and important notices directly within the app.
AssemblyAi Privacy Policy: AssemblyAi is an industry leader in audio transcription. They assist us in transcribing tasks. AssemblyAi will have temporary access to the raw audio recording which will be removed after 7 days. Please refer to their policies for more specific details.
BigQuery Privacy Policy: BigQuery is a Google data warehouse service. We use it to securely store and process usage data for analytics and reporting.
DocuSign Privacy Policy: DocuSign is an electronic signature platform that enables businesses to securely sign,
send, and manage documents digitally. DocuSign allows us to send and sign customer contracts, and other critical documents.
Firebase Privacy Policy: Firebase is a Google service that assists us with application hosting and analytics. Front
end applications are served to clients by Firebase hosting.
Google Gemini Terms: Google Gemini models are used to help assist with note summarization and categorization. We utilize a commercially hosted LLM in order to provide accurate and reliable insights. Information shared with this third party, includes transcripts and note related data.
ubspot Privacy Policy: HubSpot is a customer relationship management platform that offers tools for marketing,
sales, customer service, and content management. Hubspot helps us engage, and nurture leads as well as streamline customer interactions.
Maple Privacy Policy: We’re using Maple to process subscriptions, payments, and account charges on our behalf.
Metabase Privacy Policy: Metabase provides analytics and reporting capabilities. We use it to visualize product and usage data to improve performance and decision-making.
Microsoft Azure Legal: Microsoft Azure is a cloud computing platform that provides a wide range of services,
including computing power, storage, databases, and networking to help build, and manage applications at scale.
Mixpanel Privacy Policy: Mixpanel is an analytics service. We use it to measure product usage and user engagement so we can improve CoRecruit's features and overall experience.
PostHog Privacy Policy: PostHog is a product analytics tool. It helps us track user interactions and behaviour to improve CoRecruit's functionality and user experience.
MongoDB Atlas Privacy Policy: MongoDB Atlas is a fully managed cloud database service that simplifies the deployment,
scaling, and management of databases. MongoDB Atlas allows us to more easily provide preformant and available database access for our applications.
Recall Ai Privacy Policy: Recall Ai assists us in providing reliable and available bots for calls that are hosted over Zoom, Microsoft Teams, Google Meets or Cisco Webex. Recordings are temporarily stored on Recall Ai while they are processed. Please refer to their policies for more specific details.
Retool Privacy Policy: Retool is an all in platform for building and managing administrative dashboards. Retool allows us to build and maintain a robust set of admin tools without requiring the large overhead of a from scratch solution.
Stripe: Stripe is a secure and reliable payment processor. Stripe allows us to collect payment from users efficiently and securely.
Twilio Privacy Policy: Twilio is an industry leader in VOIP for both phone calls and messaging. Twilio assists us in providing clear and reliable phone support. Recordings are temporarily stored on Twilio while they are processed. Please refer to their policies for more specific details.
Twilio Privacy Policy: Twilio SendGrid is an email delivery and marketing service that is used to provide reliable and scalable email capabilities. Twilio SendGrid helps us send transactional and promotional emails at scale.
By agreeing to the use of cookies, you also agree to allow the data collected to be used to track your behavior while on the service. Tracking behavior includes but is not limited to page analytics and tracking of time spent on the service. The data we collect by using cookies may also be used to customize our website to your needs. This may include session persistence or other optional behaviors. We collect your data for several reasons.
Personal Information
We retain the data you submit. Meeting information including but not limited to transcriptions, notes and other recording derived data is retained in the system and may be retrieved at a later time as requested.
When a service account is deleted all relevant information will be removed after a maximum of 30 days. Any queries about personal information or related data can be sent to support@corecruit.com with the subject line being “Questions about my personal information”
We will not log sensitive information including passwords, emails and transcriptions. We will log information related to system functioning, including but not limited to system metrics, timestamps, IP addresses, and requested routes. System logging is required in order to provide a reliable and preformant experience for users.
All user and system data is considered sensitive and is not publicly accessible. Any data that the user generates is only available to that user as well as any additional users that have been allowed by the account owner. Accounts with multiple team members may share direct or derived information such as call metrics, transcriptions, notes and summaries.
We are committed to securing your data and keeping it confidential. We operate according to our policies in order to prevent data theft, unauthorized access, and disclosure by implementing the latest technologies and software, which help us safeguard all the information we collect online.
Personal Identifiable Information (PII) is encrypted in transit, and at rest. PII may also undergo additional layers of encryption depending on the sensitive nature of said information.
We may require observing PII for troubleshooting account issues, monitoring system health, or other reasonable administrative tasks. Administrative access to PII is heavily restricted to key company representatives, bound by internal policies and non-disclosure agreements.
PII is never copied, exported, or permanently stored on non-administrative systems.
Data stored in the Service (PII or not) is considered confidential and sensitive. Policies and protections on this data will remain indefinitely.
We aim for 99% uptime on services. This may not be possible, depending on day to day operations or unforeseen circumstances. Partial or full outages outside of our predetermined maintenance windows will be disclosed to affected users.
An outage is defined as “A period of time, outside of a maintenance window when a service is not accessible or non functional." Our website contains links that lead to other websites. If you click on these links we are not held responsible for your data and privacy protection. Visiting those websites is not governed by this privacy policy agreement. We monitor account usage for improper use or security. We may adjust or disable accounts or features if an anomaly is detected.
Our application’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
We will optionally request authorized user data from Google services. The scopes of these requests are limited to reading calendar events, and requesting the authorized user email address.
We use this additional information to facilitate automatic call scheduling and enable bots to join automatically. This feature is optional, we will never require you to grant permissions to use the Service. Calendar permissions are typically listed as “Restricted” by Google, ensuring you are allowed to authorize this application with your organization.
Data obtained from allowing the Google integration will be shared with a trusted third party (Recall AI) for the sole purpose of scheduling future calls and allowing call bots to join automatically.
Data obtained from Google services may also be shared with relevant, trusted third parties (As mentioned in section “third party policies”) for the purpose of transcription, recording, note summarization / categorization or other product features. Examples of data usage may be speaker (participant, host) labeling, event details including descriptions, titles, or other openly available event data.
